 First : General Rules  For Participation 

 

General Rules for Participation

1-      The application form should be extended together with a down payment or total rental according to schedule mentioned in application from.

2-      The exhibitor has no right to waive to others part or all area rented to him either free or against money.

3-      Withdrawal of participation : If the exhibitor wishes to withdraw 45 day before inauguration without an acceptable reason, he has no right to claim what he already paid , it will be GOIEF’s  right without warning ;  in case the apology is accepted less than 45 day before inauguration , the exhibitor will loose  25 %  of paid amounts . Notification should be in written form.

4-      Refunding down payment; if for any reason the organizers decide to e not hold the exhibition, the exhibitor will be refunded only the paid amounts and he will hare no right to claim for any complementation.

5-      Customs & Import Regulations: The exhibition ground in Nasr city has a limited customs area next to gate 2 where all customs regulations incoming exhibits will be done there in order to facilitate measures. For more information pls contact  Commercial Affairs Dept on tel (202)22607825

6-      Exhibits coming from free zones in Egypt: The exhibitor will apply to Commercial Affairs Dept to allow exhibits into Exhibition Ground enclosed by approval of General Authority for Investment & Free Zones to transfer exhibits to Exhibition ground, invoices of exhibits in additions to a letter of guarantee to Exhibition customs amounting to customs fees.

7-      Selling to the public: Direct sell to public is during the fair period for imported goods coming for display and re –export.

The sell will be in a particular place under the supervision of GOIEF and customs authority and paying 1% of the value of selling quota.

Import rules must be filled either for trade, production or personal use.1% of the quota sell value must be paid.

8-      Re- exporting : Exhibits that are not sold or gifted will be re- exported after event termination not exceeding the validity of letter of guarantee to customs ( six months) ; In case of exceeding the six months , the customs authority will confiscate it and sell in auction , For more information please contact Commercial Affairs Dept  tel: (202) 22607825

9-      As for exhibits that customs fees are fully paid 1% will be paid according to the total value of the invoice.

10-   Dismantling: The exhibitor will remove decoration and exhibits within 3 days of event termination and handing over the site as received.

11-   General Rules & Instructions : 

- It is not allowed to use inflammable items.

- It is not allowed to use loudspeakers or DJ inside or outside halls.

- Empty boxes and waste items should be removed 48 hours before inauguration.

12-   Security: The exhibitor will be responsible for his stand and his belongings on Exhibitions Ground, he should take the necessary precautions to secure the safety of his exhibits; he will be responsible to extend fire extinguishers inside halls.

13-   General Conditions: The organizer has the right tp photograph display pavilions and exhibits; if the exhibitor wishes to distribute publicity materials he should get a prior approval of the administration.

Rules & stipulations of decoration in halls & open area

1-      Maximum Height in covered display is 5m.

2-      Maximum height in hall 15 is 3 m.

3-      Maximum height in investment hall is 4 m in ground floor & 3 m in the first floor.

4-      Maximum height in open display is 7.5 m

5-      If you use inflammable materials in decorations, it is necessary to extend 2 fire extinguishers in pavilion.

6-      Always use plastic cover under sand or concrete works inside halls or open display noting that you will remove all structures or rubbish and you will hand over the sight as received after event termination.

7-      The exhibitor will stick to his allocated area ; any increase in area will be paid for

8-      The exhibitor will not erect any decoration facing air conditioning units.

9-      The exhibitor should not erect his decoration to hinder the entrance of electricity rooms ; one meter facing electricity panels should be left to enable personnel to reach electricity panels noting that a door should be installed facing every room

10-   All internal electricity connections in pavilion should be done according Egyptian Code; all these connections should be connected to a special panel distribution board noting that a suitable cable connecting this panel to a distribution board of the hall will be installed.

11-   Extending engineering drawings ( horizontal sectors- facades – sectors – distribution boards ( 2 & 3 phase) & a chart indicating water connections and materials used in decoration in original and triplicate in order to get the approval of the Engineering Dept before handing over the site GOIEF has the right to modify any of the above.

12-   All designs should be authenticated before starting decoration works.

13-   Detailed engineering designs should be extended for open display

14-   Detailed sectors should indicate erection method and connections to floors should be in panels and mails.

15-   Engineering drawings should indicate installation of hanging roof in open display.

16-   Decoration works will be done according to authenticated design and the instruction of the supervising engineer; in case of committing violations, GOIEF has the right to cancel participation.

17-   Engineering designs of publicity panels and its installations method should be extended before execution.

18-   Engineering designs should be authenticated from an engineering office.

19-   It is forbidden to hang exhibits on panels, pillars or floors in covered halls.

20-   It is forbidden to hinder exhibits doors with decorations.

21-   In case of inflicting damages, the exhibitor will pay to repair it.

22-  If the exhibitor wishes to undertake his decoration works ( or through other decoration company not registered at GOIEF ) , he will pay L.E 25 per sq.m  in covered display and L.E 10 per sq.m in open display in addition to L.E 1000 if the decoration company is not registered.

23-   If the exhibitor contracted one of registered companies, he will be exempted from  L.E 1000 he will pay only L.E 25 per covered sq.m & L.E 10 per  open sq.m

 

Second : Customs, Monetry, Import Regulations and Facilities for Foreign Exhibits on Exhibition Ground - Nasr City -Cairo

 

The Exhibition Ground in Nasr City, Cairo has a Customs Zone near gate (2) at which all customs procedures are done on samples of goods destined for display or sale at international manifestations to be held there on.

 

First : Imported Consignments : -

 

1-Shipping of exhibits : -

 

Consignments must be addressed to the international  Exhibition or fair or foreign show where exhibits are to be  displayed. Participants must present these documents : -   

           a) Bill of lading

              B/L must include the following  details : -  

              - The Shipper : Country - foreign producing company taking          

                 part in this Exhibition or representative – its address.

 - Consignee : ( Name of event – Stand of the foreign company     

     or pavilion of the exhibiting country in Exhibitions ground   

      Nasr City Cairo  Egypt  ) .

- Notify : Agent or representative of the foreign exhibitor and    address in Egypt .

 

              N . B : Goods must reach the port  arrival within enough  time    

              ( 2 weeks ) before the opening of the Exhibition to ensure its     

              arrival to the Exhibition ground in due time especially goods  

              which need to be tasted by various authorities .

 

b) Detailed Exhibits invoice indicating producing Country   indicating customs item number ( H .S )

C)Authenticated Certificate of Origin.     

  2-Guarantees : -

 

                 a) Official Participation of a country :

    Participant country provides a letter from its embassy in Egypt, this letter pledges to settle all customs duty on exhibits which will not be re-exported enclosed by a list of companies exhibiting within the official participation of the country.

 

      b)  Individual Participation of Foreign companies :

            Participant  foreign  company provides the Customs office   with

            an irrevocable letter of guarantee valid for six months  from one

            the accredited banks to ensure the following : -

·        Transport of exhibits from port of arrival to the Exhibition Ground till re-exporting those exhibits .

·        Settlement of customs duty and fees on disposed goods.

 

3-Exhibits that are released directly:

·   Samples, publicity and advertising materials imported for persons noting that the following stipulations will be applied.

·   Confirming identity of samples.

·   Approval of ministry of health for medicine samples

·   Publicity materials should bear the name of advertiser or occasion.

 

4-Customs on Alcoholic Drinks and Cigarettes : -

 

Exhibitor undertakes to settle all customs duty on imported

Alcoholic drinks and cigarettes. Whatever the foreign country  wishes to consume in its pavilion is exempted from duty by virture of a certain application endorsed by the embassy of the participant and the Egyptian Ministry of Foreign Affairs.

 

Second : Exhibits Coming From Free Zones in Egypt  

·      The participant applies to GOIEF 's Commercial  Affairs Dept with  the following documents : -

       a) The approval of the General Authority for Investment & Free

           Zones to transport exhibits to Exhibition Ground.

      b ) Invoices of Exhibits.

·      The Commercial Dept. issues a letter to Customs office  approving to allow exhibits into exhibition ground after paying 1% of Exhibits' value.

·      The participant introduces a bank Letter of Guarantee amounting   

      to customs fees as determined by Customs office together with

      invoices and the approval of Commercial Affairs Dept.

 

·      The exhibitor pledges to return the exhibits back to the respective Free Zone after event termination for non sold items.

 

 

 

 

 

Third : Customs Cleared Foreign Exhibits & Decoration    Accessories : -

 

  It is customary to forbid displaying customs cleared foreign  except

  for forced circumstances estimated by the Event management on   

  condition that customs release will precede inauguration date with

  a period specified by event management. The exhibitor will apply to

  GOIEF's commercial Affairs to exhibit those exhibits enclosed by

  detailed lists : -

·   3 copies of original invoices indicating items to be exhibited,

    description, trade marks.

·   3 copies of customs clearance.

·   3 copies of Receipt of customs fees.

·   3 copies of the packing list of items to be exhibited indicating prices.

·   The exhibitor pays 1% of exhibits value to GOIEF;s treasury.

 

Fourth : Direct Selling to Public : -

 

·   It is necessary to get an authorization to sell foreign products.

·   It is permitted to sell consumer goods directly to the public at

   places assigned by the administration of the exhibition.

·   Authorization granted to sell goods to public will be foreign

  participate countries and companies.

·   Retail selling will be restricted to individuals; wholesale of goods

  is entirely forbidden.

 

 

          Direct Selling Procedures :

 

1. Participant foreign company will apply to Commercial Dept in order to get  a quota to sell directly to public; Proforma invoices   

     indicating items, quantities and prices, should be authenticated  

     from customs dept. before  applying to commercial affairs dept.

2. Monetary quota will be determined according to total rented space

     in square meters : -

a)           US $ 300 for each s.q.m of both display spaces of the exhibiting company.

b)           US $ 100 for each rental s.q.m for events organized on Exhibitions Ground by other organizers.

c)           US $ 20 for events held outside Exhibition Ground.

 

 

3. Collecting 1 % of the amount of invoice introduced to Commercial

  Affairs Dept after getting authorization sell.

4. Selling prices will be determined according to prices CIF + Customs

   and taxes; pls. do not introduce reduced prices in your invoices.

5. Customs duty will be paid in full for sold items.

6. Unsold items will be re-exported according to customs measures.

 

  Fifth : Measures to buy foreign samples : -

 

Contracting on samples on display in the fair will be done directly between exhibitor (Supplier) and buyer (importer) without any responsibility on GOIEF, GOIEF's role is confined to introducing facilities to both parties.

 

 The Buyer will apply to Commercial Affairs dept with the following   document :

·        Invoice of items on question.

·        Completing the form assigned in Commercial dept and paying

     1 % as administrative tax of the invoice value.

 

  Sixth : Re-exporting Exhibits : -

 

Exhibits that are not sold after event termination will be re-exported within the validity period of letter of guarantee ( six months ) extended to customs authority ; in case of exceeding the mentioned period, those exhibits will be sold in auction.  

 

Seventh : Storing exhibits after fair termination : -

 

Exhibits and display accessories will not stay in Exhibition ground for more than  six months after event termination ; after that period, it will be confiscated and sold in auction GOIEF reserves its right to clear exhibition ground.

 

  Eighth : Entry & Exit of Foreign exhibits : -

 

·        Gate No.2 is the only gate for foreign exhibits.

·        Foreign Exhibits exit form will be sold at GOIEF treasury after the event termination for LE. 10 after authentication then handing it over to the committee next to gate No.2 .

 

 

  Ninth : List of Import Prohibited Goods : -

 

· Products Carrying signs touches religious Feelings.

· Offal and limbs of Poultry.

· Liver of Poultry.

· Two Storks motorcycle non-equipped with oil injection pump.

· All Kinds of asbestos materials.

· Brake pads made of asbestos material.

· Tuna in it' s Components oil treated heritage.

· Insecticides & chemicals.

Tenth : Rules & Regulations of Textile and Garments

 

1 - Textile & Garments factories that will export its products to Egypt

     must be registered at the General organization for Export & Import  

     Control.                                                      

 

           Candidate factories will be registered upon approval of chairman  

       of Organization according to ministerial decree No. 161 for the year

       2004.                                                          

 

 2 – As for clothes, covers carpeting except for socks and imported

       items for medical purposes the following stipulations will be

       applied : Data tags will be sewed to each item in Arabic.  

·   The Kind of used textile.

·   Country of original.

·Importer name.

Eleventh : Necessary Approvals For Allowing Exhibits :

 

The General Organization for International Exhibitions & Fairs has decided to facilitate procedures by assembling all examine parties on exhibition ground in order to terminate all procedures quickly noting that each exhibiter will apply with his samples 7 days before event.
